The announcement text: JOB TITLE: OFFICE SERVICES ASSISTANT


JOB PURPOSE: To maintain services to ensure the efficient and safe functioning of the office and develop systems as necessary to accommodate the continued growth of the company.


KEY RESPONSIBILITIES:

1. Maintain stocks of stationery and office supplies, source suppliers, place orders and check invoices.

2. Ensure photocopiers are functioning correctly, order associated supplies, report and record faults and liaise with engineers.

3. Ensure the furniture in meeting rooms and meeting areas is arranged according to requirements and appropriate equipment is provided.

4. Receive and distribute deliveries of goods, packages and documents and assist with unpacking and disposal of cartons as requested.

5. Liaise with all staff to maintain the appearance of the office and remove unwanted items and rubbish on an on-going basis.

6. Carry out basic maintenance of furniture, fixtures, fittings and equipment and contact appropriate engineers for repairs and maintenance as necessary.

7. Liaise with Managing Agents on maintenance issues as necessary.

8. Prepare recycled materials for weekly collections and order necessary supplies as required.

9. Photograph all new staff for inclusion on the company intranet and notice board.

10. Issue keys and security passes to staff and maintain a record.

11. Deputise for the Caterer at lunchtime on a daily basis and as required.

12. Deputise for Reception*Switchboard as required.

13. Assist with food shopping, preparation of lunches, teas*coffees for meetings and clearance of rooms in conjunction with the Caterer.

14. Take films for processing, maintain stocks of suitable print films and check invoices as appropriate.

15. Maintain a manual of daily office services routines and procedures and update as necessary

16. Assist with photocopying, binding etc as required.

17. Assist with H&S requirements.

18. Carry out ad hoc duties as required by the Office Manager.

QUALIFICATIONS*SKILLS*EXPERIENCE REQUIRED

• Minimum good grade GCSE’s or equivalent
• Physically fit and able to carry and move packages and furniture items.
• Previous experience in a relevant Office Services role or other relevant position.
• Positive attitude, motivated and able to work on own initiative.
• Proactive, positive attitude.
• Personable
• Skilled at oral and written communication.
• Methodical, with good organisation skills.
